The body of the review

FreshBooks fits owner-operated service contractors and small project-based shops that need estimates, invoicing, expenses and straightforward bookkeeping. Its pricing page puts core accounting on Plus and project profitability on Premium. The recommendation is conditional on checking payment rates, migration charges and refund terms before committing.

Crews needing dependable offline access should look elsewhere because FreshBooks’ getting-started guide requires an internet connection. Businesses seeking a proven dispatch-and-inventory system should also keep shopping: the documented strengths here are financial workflows, and those operational requirements need a separate demonstration.

This review draws on FreshBooks’ published pricing, help documentation and terms, and on individual customer reviews. US pricing, plan features and terms were checked on October 18, 2026.

Which plan makes sense?

FreshBooks’ pricing page lists the following USD monthly rates. The annual column reflects the 10% yearly discount published in its pricing help article; confirm the annual checkout total and promotion eligibility.

PlanRegular monthly priceAnnual billingIncluded usersMain buying gate
Lite$2310% yearly discount; confirm totalOwner; team seats extra5 billable clients; estimates and invoices
Plus$4310% yearly discount; confirm totalOwner; team seats extra50 billable clients; accounting and accountant access
Premium$7010% yearly discount; confirm totalOwner; team seats extraUnlimited billable clients; profitability and accounts payable
SelectCustom quoteConfirm in quoteOwner plus 2 team membersAdvanced Payments, onboarding and expanded controls

The terms say applicable taxes are added to these prices.

Plan prices, client allowances and Select’s included seats come from the pricing page; the team-management guide explains paid collaboration invitations.

The pricing page advertises 80% off for four months: Lite at $4.60/month, Plus at $8.60/month and Premium at $14/month. Budget from the regular rates after that period. The getting-started guide describes buying without a trial to obtain discounts, so confirm eligibility before choosing between evaluation and immediate purchase.

Lite suits a small repeat-client book. FreshBooks’ pricing help article says active and archived clients both count toward the allowance. Deleting a client frees a spot and preserves past invoices, but prevents further invoicing until that client is restored. A residential contractor continually adding customers should budget for growth instead of repeatedly managing that limit.

Plus is the practical bookkeeping starting point because the getting-started guide includes double-entry reports, bank reconciliation and accountant collaboration. Premium makes sense when supplier bills or job margins matter, because the same guide places accounts payable there, while the profitability guide reserves cost rates, expense markup and profitability reports for Premium and Select.

Can it follow a contractor’s workflow?

FreshBooks’ pricing page includes estimates, deposits, recurring invoices, time tracking and expenses across plans. It places proposals, e-signatures and retainers on Plus and above. That supports a small service shop moving from quote to collected payment without requiring advanced accounting work for every invoice.

The details matter when jobs mix hourly labor and fixed-price work:

  • Hourly billing: FreshBooks’ billing-methods guide supports project-wide, team-member and service rates. Set the intended method before staff log billable time.
  • Fixed-price billing: The same billing-methods guide says a flat-rate project generates a single invoice line, with tracked time marked non-billable. Partial invoice amounts can be entered, but contractors should inspect whether the resulting document meets customer requirements.
  • Job margins: The Profitability Details guide calculates labor costs from tracked time multiplied by cost rates, plus expenses. Its billed figure includes draft invoices, so compare margins with collections before making cash decisions.
  • Supplier payments: FreshBooks’ bills guide distinguishes recording a bill payment from its separate Bill Pay workflow. Existing bills and vendors are not automatically shared into Bill Pay; demonstrate that handoff before relying on it for supplier payments.

Permissions also affect delegation. The permissions guide says managers cannot view project profitability or team costs, while employees normally handle their own time and expenses. Client-specific access restrictions are available for certain users and Select plans. A foreman who needs margin visibility may require a different role, so review financial access before issuing invitations.

What connects to existing systems?

For QuickBooks Online, the immediate question is whether the business wants to move its books or keep two systems synchronized. FreshBooks’ import guide documents QuickBooks migration through Easy Switch and CSV imports for selected records. An ongoing QuickBooks Online sync needs confirmation, including record types, direction, corrections and refunds.

FreshBooks’ pricing page marks Easy Switch as a Select feature, while its import guide says migration is free on some Select plans and costs extra on others, as well as Plus and Premium. Budget a separate conversion allowance until the written quote identifies which treatment applies. Ask for the historical records, attachments and opening balances included in that quote.

For workflow automation, the Zapier guide supports owner- or admin-authorized connections using triggers and actions. A contractor should have the proposed automation demonstrated with an actual invoice correction and duplicate customer before depending on it. Confirm connector charges and supported actions separately.

What do payment transactions cost?

Payment costs can outweigh the subscription for a contractor collecting large invoices.

Buyer warning: FreshBooks’ pricing page quotes credit processing at 2.9% + $0.30, while its USD transaction-fee guide lists 3.5% + $0.30 for commercial, corporate, business, American Express and managed payments. Until FreshBooks confirms the applicable schedule, budget the higher rate for those payment types; the difference is $60 per $10,000 processed at equal transaction counts.

The USD transaction-fee guide also lists:

  • ACH: 1%, with caps available for Select plans. Confirm the cap before pricing large deposits around it.
  • Buy now, pay later: 6% + $0.30 for Affirm and Afterpay.
  • Extra charges: $15 per dispute, $4 for failed ACH, and an additional 1.5% for Instant Payouts, plus +2% foreign exchange and +1.5% for international cards, according to the USD transaction-fee guide.
  • Refunds: Processing fees are retained when a customer payment is refunded.

The terms say payment transaction fees can change without notice, and subscription fees with at least 30 days’ notice.

Assuming a $5,000 customer payment, those published rates work out to about $145 for a standard card, $175 for the higher card rate or $50 for uncapped ACH. Ask customers’ likely payment preferences before estimating monthly processing spend.

For Stripe Standard users, FreshBooks’ separate Stripe fee guide adds 0.6% for managed payments and directs customers to account-specific pricing. Identify the actual processor and payment flow before comparing quotes.

What else raises the bill?

Assuming an owner and four paid team members, the pricing page produces a five-person total of $87/month on Plus or $114/month on Premium at regular monthly rates. That calculation adds four seats at $11/month each. Free unassigned profiles provide no account access, according to the permissions guide.

FreshBooks’ team-management guide permits up to 10 accountants at no extra cost on Plus, Premium and Select. It also says deleting a team member requires a separate subscription adjustment to remove the unused paid seat. Review both the staff list and billing after departures.

The pricing page charges $20/month for Advanced Payments on Lite, Plus and Premium and includes it on Select. The Advanced Payments guide describes manually keyed cards and AutoCollect; cards entered privately by clients cannot be accessed for business-initiated charges. Business-initiated and automatic charges fall under the USD guide’s Managed Payments rate of 3.5% + $0.30, on top of the $20/month add-on. Confirm that distinction before buying it for repeat-service collections.

Buyer warning: The payroll product page quotes $40/month plus $6/month for each employee, but the payroll help guide also bills usage for contractors paid in the previous month. Budget the published employee charges plus a separate contractor allowance, and obtain the contractor rate in writing before comparing payroll totals.

The payroll help guide requires at least one US W-2 employee for contractor payments. It excludes contractor-only payroll, multiple regular hourly rates for one employee, check printing and PTO tracking. Those restrictions can rule out the embedded payroll option for trade crews; FreshBooks points businesses with more complex needs toward its separate Gusto connection.

What do customers report?

FreshBooks has an overall 4.5/5 from 4,529 Capterra reviews on its Capterra listing and 4.5/5 from 980 G2 reviews on its G2 listing. The FreshBooks Invoicing App has 4.7/5 from 10,978 Apple App Store ratings; that listing rates the mobile app.

The individual accounts give useful trial priorities:

  • Routine invoicing: On Capterra, Alan O., September 22, 2026, credited invoices and reminders with reducing administration for a solo driving school, but reported mobile logouts during expense entry.
  • Setup and support: On G2, Phil J., July 1, 2026, described quickly learning estimates and recurring billing, with helpful support on organizing recurring projects.
  • Performance: On G2, Randal W., May 14, 2026, praised billing and the client portal but reported interface delays that contributed to mistakes and made the business decide it needed to migrate away.
  • Billing allegation: On Capterra, Peter B., September 20, 2026, alleged a duplicate subscription charge and a 72-hour support response, alongside app freezing and difficult report exports.

These are individual accounts, and several are marked incentivized by their platforms. They support testing invoice creation, mobile expense capture, export quality and billing support with representative work before moving the whole business.

What are the trial and exit terms?

FreshBooks’ pricing page offers a 30-day trial with no credit card required and broad feature access. Its pricing help article says all features are available, but the homepage FAQ excludes Advanced Payments and the payroll product page excludes payroll. Confirm those exclusions and arrange a demonstration if either determines the purchase.

The pricing page’s unlimited-access wording also differs from the upgrade guide, which says selecting a paid plan restricts the remaining trial to that plan’s features. That guide says charging starts after trial expiry and then renews automatically monthly or annually. Finish evaluating higher-tier workflows before selecting a lower plan.

Buyer warning: The pricing page promises a full refund within 30 days of purchase, while the terms of service make fees non-refundable and cap any refund or credit at three months’ charges. Treat purchase money as committed in the budget until FreshBooks confirms the guarantee’s application, particularly for annual billing; the pages disagree.

FreshBooks’ cancellation guide additionally gives recent payments a refund-request grace period of five business days or seven calendar days. The terms require written fee disputes within 90 days and payment for the balance of the current billing period. Keep the purchase confirmation and raise billing errors promptly.

The terms add 1.5% monthly interest (18% a year), or the legal maximum if lower, on overdue fees and allow FreshBooks to charge the card on file for a negative balance lasting 30 days, including FreshBooks Payments and Payroll debt. Claims go to a sole arbitrator under Ontario law, except where prohibited by applicable law, per the terms.

Cancellation also affects collections and records:

  • Access and invoices: The cancellation guide keeps access through the billing cycle, then disables client invoice payments, recurring workflows and bank connections. Collect outstanding invoices or arrange another payment route first.
  • Retention: That same cancellation guide promises preserved data and future reactivation, but also permits deactivation and deletion after 30 days of inactivity. Export records before cancellation and confirm retention in writing. The terms also reserve a data storage fee for deactivated accounts.
  • Payroll closure: The payroll guide says cancellation stops tax filings, payments and year-end forms, with a final usage charge. Coordinate the handoff with the accountant before cancelling. The cancellation guide says the Payroll add-on, and Select plans, are cancelled through Support.

Should a contractor buy FreshBooks?

FreshBooks is worth a trial for a small service business whose main problem is turning work into invoices and organized books. Start by matching the accounting requirements to the plan, then test a complete job, including expenses, partial payment, reconciliation and export.

Proceed only when the payment schedule, migration scope and refund treatment are clear in writing. A business that needs offline field operations or dispatch-and-inventory depth should establish those capabilities elsewhere before treating FreshBooks as its central operating system.

  • Post-trial data storage versus deletion of inactive accounts. The pricing page says: “Your invoices, expenses, bank transactions, and other data will be securely stored in case you decide to upgrade later on.” The terms page says: “If your account has been deactivated for thirty (30) days and we don’t hear from you, we may delete your account at any time” Ask: how long expired-trial data is retained and whether the inactive-account deletion policy applies before subscribing.
  • Inactive-account deactivation after 30 days versus two months. The help article says: “Accounts that are inactive for 30 days or more may be deactivated and deleted” The terms page says: “If your account is inactive for at least two months (as determined by FreshBooks), we may deactivate your account.” Ask: whether inactivity triggers deactivation after 30 days or two months, and how long after deactivation deletion can occur.
